For the European Medicines Agency we are looking for an AV Project coordinator in the Digital Workplace office!
What are you going to do?Role summary:
Provide support to projects and programmes in accordance with the Agency’s project management methodology, working alongside the Project Management Specialist and other team members to help deliver project objectives. This role includes acting as a key liaison between project workstreams and stakeholders.
Specifically, the Audio-Visual (AV) Project Coordinator supports the EMA Project Manager in ensuring the successful delivery of AV-related initiatives, including the upgrade of office spaces into multifunctional and meeting rooms. The role involves coordinating daily AV tasks, managing vendors, and ensuring a high-quality audiovisual experience in a corporate and live event setting. Strong coordination, stakeholder engagement, and organisational skills are essential.
Standard Role Duties & Responsibilities
- Support project planning, monitoring, and reporting in collaboration with the Project Management Specialist / Programme Manager.
- Coordinate project teams and resources to ensure timely delivery within budget.
- Organise and document project meetings and communications.
- Contribute to process improvement and business design initiatives.
- Ensure quality compliance and assist with project documentation and end-user support.
Role Specific Duties & Responsibilities
- Plan and coordinate AV projects aligned with business and stakeholder needs.
- Manage AV equipment setup, testing, troubleshooting, and vendor coordination.
- Provide daily support for AV operations and logistics.
- Maintain communication with stakeholders to track progress and resolve issues.
- Support reporting on project progress and outcomes.

Salary range:
- 4,812.17 gross per month (5 years of experience)
- 5,444.73 gross per month (5 - 17 years of experience)
- 6,970.17 gross per month (17 years of experience or more)

What do we ask?Education:
- A level of education which corresponds to completed university studies of at least three years, attested by a diploma.
Experience:
- At least 6 months and up to 3 years of full time relevant professional experience in either a competent authority in the field of medicines regulation, the pharmaceutical industry or in a healthcare/academic setting obtained on scientific, regulatory or procedural aspects of research, development, authorisation, manufacturing or supervision of human or veterinary medicines:
- In coordinating and organising projects and/or initiatives;
- In dealing with internal and external stakeholders.

- Knowledge of the legal and regulatory framework for medicinal products in the EU.
Nice to Have:
- Degree in Audio-Visual Technology, Project Management, or a related field (preferred).
- Microsoft Teams Administrator certification (recommended).
- Experience in coordinating and organising projects and/or initiatives, including change management activities.
- Proficiency with project management tools such as Microsoft Project and/or Agile planning tools.
