For the European Medicines Agency (EMA), we are looking for a Customer portfolio analyst/Business analyst in Human Medicines Information Managment division!

What are you going to do?

Role summary:


We are looking for a Business Analyst to join the Agency's Information Management Division on a temporary basis. The IM division handles IT project delivery for both internal and external stakeholders, and the work is organised in an agile manner.


In your role as Business Analyst, you will:

  • Bridge the gap between business needs and technology solutions by analysing processes, gathering requirements, and enabling data-driven decisions;
  • Work closely with stakeholders in regulatory operations to identify and execute current and emerging user needs;
  • Understand the business needs and translate them into well-defined technology requirements;
  • Represent business stakeholders and take ownership of jointly defined demand, during the development of products and associated deliverables;
  • Testing solutions;
  • Ensure that product and service is fit for purpose and that business benefit is implemented;
  • Support business stakeholders with optimisation of business processes;
  • Proactively identify and flag the business needs and be able to highlight interdependencies across business areas.

Standard role duties & responsibilities:


  • Contribute to the development of the agency's delivery methodology and continuous improvement;
  • Provide technical support to the Project Management Specialist / Programme Manager in project/programme planning, progress monitoring and management reporting;
  • Support the business design and process improvement within the related area;
  • Support, organise and coordinate the project team to deliver project objectives within time, resource and budget constraints;
  • Provide support to the Project Management Specialist / Programme Manager in monitoring the project budget and ensures resource plans and forecasts are continually kept up to date and accurate;
  • Organise meetings with relevant operational teams including agendas, meeting logistics, summary and minutes;
  • Coordinate, record and ensure quality compliance and plan for maintenance and end user support;
  • Assist in the monitoring of the formal acceptance on the delivery of the service and its deliverables, in conformance with the provisions of the delivery contract.
  • Assist the Project Management Specialist / Programme Manager in preparing project board / steering group level communication for project governance;
  • Draft and format various documents as required in accordance with EMA style guide principles and using pre-defined Agency templates, as appropriate.

Role-specific duties


The Customer Portfolio Analyst in I-CA-HMS is needed for continuing the work on enabling the delivery of prioritized portfolio EPICs, such as the implementation of regulatory procedures on IRIS (specifically, SIAMED decommissioning, and bringing procedures onto IRIS).

The specific tasks of an individual job holder, linked to this role description, are further detailed and referenced in:

activities of the organisational entity within which the job holder carries out those tasks;

the set of annual performance and development objectives, which are established together with the reporting officer;

the requirement to comply with SOPs, WINs, confidentiality undertaking and other documentation relevant to the role and its scope. These will be agreed upon with the reporting officer upon assuming duties.

A fulltime (40 hours per week), temporary job from 5-11-2025 until 31-03-2026 (assignment extention is possible)


Salary range:


  • 4812,17 gross per month (5 years of experience)
  • 5444,73 gross per month (5 - 17 years of experience)
  • 6970,17 gross per month (17 years of experience or more)

What do we ask?

Education


  • Completed university studies of at least three years, attested by a diploma.


Experience


  • Up to 3 years of full time relevant professional experience;
  • In coordinating and organising projects and / or initiatives;
  • In dealing with internal and external stakeholders.
  • In gathering, translating and communicating technical requirements clearly to the product development team, stakeholders and business representatives.
  • Extensive, hands-on experience in business analysis, defining and structuring requirements, writing user stories and acceptance criteria, designing mock-ups and wireframes, prioritising the backlog and setting up/running working group meetings.
  • Experience working in a Scrum team.
  • Experience using Azure DevOps (ADO).


Skills & Knowledge


  • Knowledge and practice of frameworks (at least one year).
