For the European Medicines Agency, we are looking for an Agile Project Officer to support Lean Portfolio Management and Agile transformation initiatives!
What are you going to do?Role Summary:
As an Agile Project Officer, you will provide support to EMA’s Lean Portfolio Management and Agile transformation programmes. You will contribute to the design of governance processes, support SAFe practices, and assist in stakeholder engagement and change management. Working closely with programme managers, you will help ensure delivery of objectives within agreed timelines, resources, and budget, while promoting continuous improvement and cross-team collaboration.
Standard role & responsibilities:
- Contribute to the development of EMA’s delivery methodology and continuous improvement.
- Provide technical and organisational support to Project Management Specialists / Programme Managers in planning, progress monitoring, and management reporting.
- Support business design, process improvement, and delivery governance.
- Coordinate project team activities to meet objectives within time, resource, and budget constraints.
- Monitor project budgets and maintain accurate resource plans and forecasts.
- Organise and support meetings, including agendas, logistics, summaries, and minutes.
- Ensure quality compliance, documentation, and planning for end-user support.
- Monitor formal acceptance of deliverables in line with contractual provisions.
- Prepare communications for project boards, steering committees, and other governance bodies.
- Draft, format, and maintain project documentation in line with EMA standards.
Role-Specific Duties:
- Support the (re-)design of Network Portfolio governance and processes.
- Coordinate value stream (VS) activities, tools, and frameworks.
- Coach and train teams and leadership on SAFe practices and mindset.
- Advise on value stream mapping, portfolio strategy, and Agile/SAFe vision.
- Facilitate Agile ceremonies (e.g., LACE/PMO Agile ceremonies).
- Foster SAFe Communities of Practice across the organisation.
Support Agile transformation communication and change management activities.
Manage Agile training courses and stakeholder engagement.
- Ensure effective vendor and stakeholder communication across a multi-vendor environment.
What do we offer?A fulltime (40 hours per week), temporary job from 20-10-2025 until 31-03-2026 (assignment extention is possible)
Salary range:
- 4812,17 gross per month (5 years of experience)
- 5444,73 gross per month (5 - 15 years of experience)
- 6970,17 gross per month (15 years of experience or more)

What do we ask?Education:
- Completed university studies of at least three years, attested by a diploma.
- Technical IT background required.
Experience:
- Up to 3 years of relevant professional experience.
- Experience coordinating and organizing projects or initiatives.
- Experience engaging with internal and external stakeholders.
- Hands-on experience with endpoint management (laptops, smartphones) and security provisioning.
- Familiarity with MS Intune and MS Defender platforms.
