For the EU Agency we are looking for an Administrative Assistant to support the Data Protection Function (DPF)!
What are you going to do?Role summary
The purpose of this post is to provide administrative support to the Data Protection Function (DPF). The duties will be performed under the supervision, guidance, and support of a Temporary Agent (AD). The role does not involve management of staff or budget.
Standard role duties & responsibilities
- Keep track of pending files and monitor outstanding tasks, deadlines, and requests.
- Provide administrative support to staff handling Data Subject Access Requests (DSARs) and Data Protection Impact Assessments (DPIAs), including monitoring and coordinating common mailboxes.
- Maintain up-to-date records of DSARs, including response dates and follow-up actions.
- Assist in preparing regular reports on DSAR and DPIA activities for the DPF and senior management.
- Assist with drafting memos, correspondence, and archiving documents in the electronic document management system.
- Support the preparation of training materials and communications related to DSARs and DPIAs.
- Assist with the preparation and follow-up of meetings, including drafting minutes and handling documentation.
- Perform any other duties in the area of competence.
What do we offer?A fulltime, temporary 6 months contract from 01-11-2025 until 30-04-2026 (with possible extension of 6 months).
Salary range:
- 3759,07 gross per month/21,69 gross per hour (5 years of experience)
- 4253,15 gross per month /24,54 gross per hour (5 - 15 years of experience)
- 4812,16 gross per month /27,76 gross per hour (15 years of experience or more)

What do we ask?Education
- A level of post-secondary education attested by a diploma, or a level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years;
Experience
- Preferably 3 years of recent experience in administrative support, preferably within public administration.
- Experience in environments requiring a high level of discretion and confidentiality.
- Experience working in an international, multidisciplinary setting.
Skills & Knowledge
- Knowledge of data protection principles and regulations.
- Excellent command of English (C1 level or higher).
- Very good drafting, administrative, and organisational skills.
- Eye for detail, accuracy, and the ability to meet tight deadlines.
- Analytical and problem-solving skills, including anticipating and implementing solutions.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and internet use.
- Ability to work under pressure, independently and in a team.
- Strong interpersonal skills and service-oriented mindset.
- Ability to liaise effectively with internal and external stakeholders.
